Privacy Policy for Clubs and Societies in Singapore

 

1. Introduction

This Privacy Policy sets out how the London School of Economics Alumni Association of Singapore (the “Society”) collects, uses, discloses and otherwise processes personal data in accordance with the Personal Data Protection Act 2012 (“PDPA”). This Policy applies to all personal data in the Society’s possession or under its control, including personal data managed by third-party service providers.

 

2. Definitions

For purposes of this Policy:

  • “Member” refers to an individual recognized as a member of the Society under its constitution or membership rules.
  • “Alumni / Applicant / Contact” refers to individuals who interact with the Society, including alumni, prospective members, event participants, donors, volunteers and persons who submit enquiries or applications.
  • “Personal Data” has the meaning under the PDPA and includes data that can identify an individual, whether true or otherwise.

Examples of personal data include: name, contact information, identification details (where applicable), date of birth, graduation details, membership information, financial transaction details, and any other information supplied to the Society for its activities.

 

3. Purposes for Collection, Use and Disclosure

The Society may collect, use and disclose personal data for the following purposes:

  1. Administration of membership applications, renewals, records and communications.
  2. Organisation, management and administration of Society events, activities, programmes and alumni engagements.
  3. Circulation of notices, communications, updates and invitations.
  4. Processing of payments, donations and other financial transactions.
  5. Verification of identity for membership or event purposes.
  6. Responding to enquiries, feedback and requests.
  7. Internal administration, reporting, analytics and planning.
  8. Compliance with legal, regulatory or law-enforcement obligations.
  9. Any purpose for which consent has been obtained or which is permitted under the PDPA.

The Society may use aggregated or anonymized information for planning or reporting.

 

4. Disclosure of Personal Data

The Society may disclose personal data:

  • to third-party vendors, agents and service providers engaged to support operations, including event management, information technology, communications and payment processing;
  • to government authorities or law-enforcement agencies where required by law;
  • to protect the rights or property of the Society;
  • in emergency situations involving safety or security; or
  • with the individual’s consent or as permitted under the PDPA.

 

5. Consent and Withdrawal

Personal data is generally collected with consent. Where personal data is required for a new or additional purpose, fresh consent will be sought unless an exception under the PDPA applies.

Individuals may withdraw consent by submitting a written request to the Data Protection Officer. Upon receipt, the Society will inform the individual of any operational consequences and will process the request within a reasonable time. Withdrawal of consent does not affect the Society’s rights to retain or use personal data where permitted by law.

 

6. Access and Correction

Individuals may submit written requests to:

  • access personal data held by the Society; or
  • correct inaccurate or incomplete personal data.

A reasonable fee may be charged for an access request. The Society will respond within a reasonable period and notify the individual if more time is required.

 

7. Protection of Personal Data

The Society implements reasonable administrative, physical and technical safeguards to protect personal data from unauthorized access, disclosure, alteration or loss. However, no method of electronic storage or transmission is completely secure.

 

8. Accuracy

The Society relies on accurate personal data to provide services. Individuals are responsible for updating the Society promptly if any personal data changes.

 

9. Retention

Personal data will be retained only for as long as necessary to fulfil the purposes for which it was collected, or as required or permitted by applicable laws and operational considerations. When no longer required, data will be anonymized or deleted.

 

10. Overseas Transfers

If personal data must be transferred outside Singapore (for example, to overseas service providers), the Society will obtain consent where required and ensure that the receiving party provides a standard of protection comparable to the PDPA.

 

11. Cookies (If Applicable)

If the Society operates a website, cookies or similar technologies may be used to improve user experience. Users may disable cookies through their browser settings, but this may affect site functionality.

 

12. External Links

The Society’s website or communications may contain links to external websites not governed by this Policy. The Society is not responsible for the content or practices of such websites.

14. Updates to this Policy

The Society may update this Policy from time to time to reflect changes to legal or operational requirements. The latest version will be communicated by the Society and will supersede all earlier versions.
